Telephone
Repairs
To report problems electronically, please use HEAT Self-Service System (preferred)
or e-mail Debra Spencer-Carter or Trish Moore.
To report telephone outages or problems call (713) 500-2280 and
press 1 or 2. Difficulty might include: line out of service, static on
line, no dial tone, callers can't hear or can't hear callers, calls
aren't rolling to vMail, forgot vMail password, can't clear vMail
message light; message button dials another extension instead of vMail,
damaged phone cord; headset isn't working; buttons sticking; etc.
Telephone Moves, Adds, and
Changes
MOVES - Relocation of cables, phones, fax lines.
ADDS - Installation of cable, phones, fax lines, modem lines,
single line phones, analog phones, 30 button add-on modules, headsets.
Programming of statiion features such as intercoms, 8-way conferecning,
call boxes, hunt groups, pick up groups and vMail paging option.
CHANGES - Can include all of the above, as well as display
name changes, programmable button features, default vMail passcodes,
line appearances, and vMail types (e.g. standard to enhanced).
MAC Work Order Request Forms:
For all requests please use the HEAT Self Service online form at http://hss.uth.tmc.edu.
The Communications Office is now asking our customers (like you) to enter your work requests in HEAT using the Self Service online form. This will prevent your request from falling through the cracks so-to-speak if one of us were to be out of the office unexpectedly. I really think that you will enjoy the system once you start using it. We have had very positive feedback from other users.
You will login with your UT login name and password. Once logged in you will be able to see all of the HEAT tickets that have been entered for you in a chart with hyperlinks to each ticket. On the left side menu/frame there is a new request link. Click on it and the select Communication Services from the drop down and enter all information that you can about the work needed.

Cellular Telephone
Corporate accounts and special corporate/personal rate plans have
been established for university employees and departments.
Before Iniating Cellular Service:
1. Refer to "How
to Purchase a Cellular Telephone" before selecting a vendor, signing
a contract or buying a phone.
2. Contact vendors to see what rate
plans they offer that may fit your needs.
3. Read the "Packet

Long Distance
LD Auth Codes, Calling Cards (University issued), and Toll Free
Numbers
Telecommunications Services provides the UTHSC-H with local and
remote access to long distance service, calling cards and 800 numbers.
To secure long distance service, the customer must complete a Long
Distance Authorization Form (available from Telecommunication Services).
A long distance access and/or security code will be issued to the
requestor once the properly authorized form and source of funds has been
received by Telecommunication Services. The access and/or security code
will allow the user to access long distance from a campus phone and/or
remotely depending upon the approved options selected
Long-distance codes are treated in the same manner as passwords.
Long-distance codes are confidential and should NEVER be shared. Each
person who has reason to make long-distance telephone calls should have
his or her own code. The person who is assigned the access code is held
accountable and responsible for all charges made with the access code.
Requests for calling cards and 800 numbers may be made via e-mail or
memorandum to Telecommunication Services. When Telecommunication
Services has received the properly authorized and funded request, the
calling card and/or toll free number will be issued.
UTHSC-H long distance services (dialed with the access code) are
billed monthly based on actual usage. Calling card and 800 long distance
service charges are passed through from the service provider. Use of the
UTHSC-H long distance network is restricted and should only be used in
support of university business.

Speech Recognition System - ADVICE
ADVICE (Automated
Directory Voice
Integrated Call
Enabler) Speech Recognition System:
Voice activated system used to locate employees or departments
throughout the UTHSC campus, including LBJ, HCPC, and HRC. To use
ADVICE within the university phone system (calling from 500-xxxx
numbers), callers can dial extension 9222. To call the ADVICE
system from any telephone number outside the university campus (numbers
other than 500-xxxx), callers will dial 713-500-4472.
ADVICE (Automated Directory Voice Integrated Call Enabler) Speech
Recognition System is the voice-activated system used to locate
employees or departments throughout the UT Health Science Center,
including LBJ Hospital and the UT Harris County Psychiatric Center.
- To access ADVICE internally within the university phone system
(calling from (713) 500-xxxx numbers), callers with “500” phone
numbers can dial extension 9222.
- To call the ADVICE system from any telephone number other than a
“500” number, callers should dial (713) 500-4472.
In some cases when asking for a name, you must be exact, for example,
using “John Doe” or John W. Doe Jr. rather than “Jack Doe.”
If you
find that the use of the formal or full name presents a problem for
callers, the recognition can be modified so that it will also recognize
an alternate name.
To request the creation of an alternate
name, submit a request using the “comment” space on the form
found at https://secureweb.hsc.uth.tmc.edu/telecom/speechrecogprobform.htm.
One
additional caution: If a person moves within the university or for any
other reason if his or her telephone number changes, it will not
be changed within the system until PeopleSoft records reflect the
change.
